Data Protection and Consent Policy

Purpose and Scope
This petition is a non-commercial, rights-based student advocacy initiative. It aims to uphold principles of justice, equality, freedom of expression, anti-racism, institutional accountability, and the protection of Palestinian rights within universities, professional bodies, and public institutions.
Use of Signatory Information
By signing this petition, you consent to your name, university or institutional affiliation, student or professional status, and any other information you choose to provide being included in a signatory list submitted to the relevant UK higher education institutions (universities/colleges) and UK representative healthcare bodies - specifically UK’s healthcare Royal Colleges and the British Medical Association - which are connected to the petition’s aims.
Signatory lists will not be submitted to the General Medical Council. As the petition raises concerns about the GMC, the organisers do not consider it appropriate to provide identifiable signatory data directly to the body criticised in the petition.
Your email address, phone number, and other contact information will be stored securely and will not be published or shared publicly without your explicit, separate consent.
Optional WhatsApp Broadcast Consent
You may be given the option to consent separately to receive WhatsApp broadcast updates from UK SJP or the relevant student petition organisers.
If you opt in, your phone number may be added to a WhatsApp broadcast list administered by members of UK SJP or designated student organisers. These broadcasts may include updates about the petition, related student campaigns, future advocacy actions, events, statements, and calls to action connected to UKSJP’s wider aims.
You will continue to receive WhatsApp broadcast messages until you ask to opt out. You may opt out at any time by replying STOP to the broadcast message or by emailing admin.uksjp@gmail.com.
Opting into WhatsApp broadcasts is optional and separate from signing the petition. You may sign the petition without agreeing to receive WhatsApp updates.
Following petition completion, you may be presented with an optional WhatsApp group invitation as a separate opt-in mechanism. This is independent of your petition data - participation requires you to actively choose to join groups through WhatsApp's own platform and terms of service. No petition data is used to add participants to WhatsApp groups.
Data Processing and Management
Petition data will be processed only for the purposes explained in this policy, including administering the petition, verifying signatories where necessary, submitting the petition, communicating directly about the petition and its related aims, and maintaining campaign records.
Where a signatory has separately opted in to WhatsApp broadcasts, their contact details may also be used for that stated communication purpose until they withdraw consent.
Data access will be limited to designated UKSJP members and student organisers on a need-to-know basis for petition administration, campaign coordination, and communication purposes only.
Data Storage and Security
Petition responses will be stored securely. Access will be restricted to authorised organisers. Where data is downloaded for administration purposes, it will be stored on encrypted, password-protected devices or accounts, and handled only by designated organisers.
We use SurveySparrow as a third-party data processor to host petition forms. Petition data will be hosted in SurveySparrow’s European Union data region and handled strictly in accordance with applicable European and UK data protection safeguards.
Data Retention and Withdrawal
Because this is part of a continuing student advocacy and movement-building initiative, personal data may be retained for up to 2 years where necessary for petition administration, campaign records, follow-up with relevant institutions, safeguarding the legitimacy of the petition, and maintaining communications with those who have opted in.
Personal data will not be kept for longer than is necessary for the purposes for which it was collected. Where a signatory has opted into WhatsApp broadcasts or other campaign communications, their contact details may be retained until they withdraw consent or ask to be removed.
Anonymised aggregate data, such as the number of signatories, university distribution, regional distribution, or general student/professional categories, may be retained long-term for statistical, reporting, and advocacy purposes. This anonymised data will not identify individual signatories.
You may withdraw your consent, request removal of your data, or ask to be removed from future versions or distributions of the petition at any time by emailing admin.uksjp@gmail.com. Upon receiving such a request, we will remove your personal data where reasonably possible, including from future petition submissions or circulated versions.
